You get a form, a rent agreement or an offer letter as a PDF and it says “sign here”. The old way was to print it, sign it, scan it and email it back. Today you can put your signature on the PDF in under a minute, on a phone or a laptop. This guide shows how, and explains plainly when a signature you draw is enough and when you need something stronger.
Sign a PDF in five steps
- 1Open the PDFChoose the file from your phone or computer. It is read in your browser.
- 2Make your signatureDraw it with a finger or mouse, or type your name in a signature style.
- 3Tap where it goesTouch the page on the signature line. The signature drops in.
- 4Resize and moveMake it about the height of the line, so it looks natural.
- 5DownloadSave the signed PDF. Check every page where a signature is needed.
Zoom in to place the signature neatly on the line. A signature that floats above the line or covers printed text looks careless.
Draw or type?
- Uses your real signature
- Best on a phone with a finger or a stylus
- Redo it until it looks right
- Always neat
- Good for routine forms
- Looks less personal and may be refused by banks or institutions
For a form that compares your signature with one on record, such as a bank form, draw it. Typed names rarely match.
- Use a mouse with patience, a trackpad or a stylus. A finger on a phone gives the most natural line.
- Draw slowly and big, then resize. A tiny signature drawn small looks jagged.
- Keep one version you like and use it everywhere, so your signature stays consistent.
- Add the date next to it in the printed form if there is a date line. The signature itself carries no date.
What kind of signature is it?
Laws in most countries accept that an electronic signature can be as valid as ink, but they treat different types differently. Think of a ladder, from a simple mark to a cryptographic seal.
- 1Typed nameYour name typed at the end of an email or a form. Shows intent, little proof of who typed it.
- 2Drawn or image signatureThe kind you place with a PDF signing tool. It looks like your signature but anyone can copy an image.
- 3Signing service with identity checksAn e-sign platform that records an OTP or ID check, the time and a log of who signed.
- 4Aadhaar eSign or digital signature certificateA cryptographic signature tied to your verified identity. Any change to the file afterward breaks it.
Level 2 is what a free PDF signing tool gives you. Higher levels add proof of identity and tamper detection. They are used when the stakes or the rules demand it.
When is a drawn signature enough?
It depends on who is receiving it and what the document is. The honest answer is: ask the receiver. The table shows typical cases.
| Document | Is a drawn signature usually accepted? | Note |
|---|---|---|
| Leave, expense or consent form at work | Yes | Internal; the employer decides |
| Job offer acceptance, NDA | Usually | Many companies prefer an e-sign platform |
| School or college forms | Often | Check the portal rules |
| Bank account or loan forms | Sometimes | Banks often want wet ink, video KYC or Aadhaar eSign |
| Rent agreement | Depends | Stamp duty and registration rules apply; follow your state’s process |
| Will, power of attorney, sale of property | No | Excluded or governed by special rules |
| Court filings and government forms | Rules vary | Use the method the portal asks for |
This is general information, not legal advice. For anything important, ask the other party or a lawyer what signature is required.
Keeping a signed PDF safe
- Do not post it publicly. Anyone can copy a signature image from a PDF.
- Share only the pages that need it. Use Split PDF to cut out the rest.
- If the file is too big to email, use the PDF compression guide.
- To add the signed form to a bundle, see merging PDFs privately.
- If the PDF is locked and will not let you edit, the unlock guide explains what is possible.
Why your file never leaves your device
Many “free” sites upload your document to their servers. A browser-based tool does the work on your own device, so a contract, a medical form or an ID copy stays with you. You can check this yourself: open your browser’s developer tools, watch the Network tab, and sign a file. You should see no upload.

Questions people ask
How do I sign a PDF on my phone for free?
Open a PDF signing tool in your phone’s browser, choose the file, draw your signature with your finger, tap the signature line to place it, resize it and download the signed copy.
Is a drawn signature on a PDF legally valid?
In many places an electronic signature is valid if the person intended to sign and the receiver accepts it. A drawn image is the simplest type. Some documents need stronger forms, such as Aadhaar eSign or a digital signature certificate.
Is an electronic signature legal in India?
Yes. The IT Act 2000 recognises electronic signatures, including Aadhaar eSign and digital signatures. Some documents, such as wills, powers of attorney and sale of immovable property, are excluded.
What is the difference between an electronic signature and a digital signature?
An electronic signature is any electronic mark showing intent to sign, such as a drawn image. A digital signature uses a certificate and cryptography to prove who signed and that the file was not changed.
Can I sign a PDF without printing it?
Yes. Place a drawn or typed signature on the PDF with a signing tool and download it. No printer or scanner is needed.
Is it safe to sign a PDF online?
It is safest with a tool that works in your browser and does not upload your file. Be wary of sites that ask you to upload sensitive documents or create an account just to sign.
Can someone copy my signature from a signed PDF?
Yes, if they can open the file, they can usually extract the image. Do not share signed PDFs publicly, and send them only to the people who need them.
