How to add page numbers to a PDF: choose the format, position and starting number, and skip the cover page

A thesis with a title page, a legal bundle that must say “Page 7 of 40”, an appendix that should start at 21. Here is how to stamp page numbers onto a PDF in a minute, what the four formats and five positions do, how the skip and start settings change the count, and what the tool cannot do.

A page number looks like a small thing until you need one. A judge asks you to turn to page 12. A teacher wants the report numbered. A portal asks for a single PDF with pages in order, and your scan has none. Many files come with no numbers at all, because they were merged from pieces or scanned from loose sheets. Adding them takes a minute, but a few settings decide whether the result looks professional or odd: where the number sits, what it says, and whether the cover page is counted.

How to add page numbers, step by step

  1. Open the Add Page Numbers to PDF tool.
  2. Choose your PDF, or drop it onto the box.
  3. Pick the Format and the Position.
  4. Set the First number (it starts at 1) and the Font size, and switch on Skip the first page if there is a cover.
  5. Press Add page numbers. The note tells you how many pages were numbered. Download the file.

What happens to your file
  1. 1It opens on your deviceThe PDF is read inside the browser. Nothing is sent to a server.
  2. 2A number is drawn on each pageText is added at the position you chose, in a plain Helvetica font and a dark grey.
  3. 3A new copy is builtThe numbered file is saved as something like report-numbered.pdf.
  4. 4You download itYour original is unchanged, so you can start again if you change your mind.

The numbers are drawn onto the pages of the new file. They are not a layer you can switch off later, so keep the original if you may want it without numbers.

The four formats

FormatWhat the page showsGood for
13Reports, essays, most everyday files
Page 1Page 3Handouts and manuals where the word helps
1 / N3 / 10Short documents where the total reassures the reader
Page 1 of NPage 3 of 10Legal bundles and forms, where a missing page must be spotted

The “of N” formats are the best protection against a lost page, because the reader can see how many there should be.

Choosing the position

There are five positions: bottom centre (the starting choice), bottom right, bottom left, top centre and top right. The tool keeps the number clear of the edge, about 1 cm up from the bottom and half an inch in from the side, and it measures from each page’s own size, so a file with mixed page sizes still gets its numbers in sensible places.

Pick by the kind of document
Bottom centreThe all-round choice for reports, letters and single-sided documents.
Bottom rightBooks and double-sided printouts, where numbers sit on the outer corner.
Top rightLegal papers and exam files, and a good fix when the page already has a footer.
Top centre or bottom leftFor layouts that need the number out of the way of a logo or a signature block.

There is no top-left position. If the bottom of a page is crowded, move the number to the top.

How “First number” and “Skip the first page” change the count

These two settings work together, and the “of N” formats follow them. Here is a 10-page PDF with four different set-ups, using the format Page 1 of N.

SettingsPage 1 showsPage 2 showsPage 10 showsPages numbered
Defaults (start at 1, no skip)Page 1 of 10Page 2 of 10Page 10 of 1010
Skip the first pageNo numberPage 1 of 9Page 9 of 99
First number 5, no skipPage 5 of 14Page 6 of 14Page 14 of 1410
First number 3 and skipNo numberPage 3 of 11Page 11 of 119

The number after “of” is the last number in the run, so it equals the page count of the file only when counting starts at 1 with no skip.

A cover page plus a 9-page report, skip switched on
NoneOn the coverPage 1 of the file is left clean
1First number shownIt appears on page 2 of the file
9Last number shownIt appears on page 10 of the file
9Pages numberedThe note says “Numbers added to 9 pages.”

This is the usual set-up for a thesis, a proposal or a report with a title page.

A start number of 0 is read as 1, so you cannot begin a count at zero. For an appendix that must continue from the main document, set the first number to the number it should carry. A 6-page appendix starting at 21 is labelled 21 to 26.

Font size

The size slider runs from 8 to 24 points and starts at 11, about the size of ordinary printed body text. The number is drawn in a plain dark-grey Helvetica, and the font and colour cannot be changed in this tool.

Very large

Match the size to the page. A small, quiet number suits a dense report. A larger one helps on a scanned bundle that will be photocopied.

What the tool does not do

  • It numbers every page except a skipped first page. There is no setting for “only pages 5 to 20”. To number part of a file, extract that part, number it with the right first number, and merge the pieces back.
  • It does not change the font or the colour, and it has no position at the top left.
  • It does not remove numbers it added. Start again from the original file instead.
  • It does not detect numbers that are already there. Running it on a numbered file gives two numbers on every page.
  • Pages that were saved with a rotation may show the number along a different edge, because the number is placed relative to the page as it was created. Check any page that was sideways before. If it matters, fix the rotation first and look at the result.

Get the order right: number last, but not too last

A number is fixed once drawn. If you delete a page afterwards, the numbers will skip one. So finish the shape of the file first.

A sensible order
  1. 1RotateMake every page upright, see how to rotate a PDF.
  2. 2Delete and mergeRemove unwanted pages and combine files, see how to delete pages.
  3. 3NumberAdd the page numbers with this tool.
  4. 4Compress if neededFit an upload limit, see how to compress a PDF.
  5. 5ProtectLock it last, see how to password protect a PDF.

If your pages come from photos, build the PDF first, then number it.

Common jobs, and the settings that suit them

JobFormatPositionOther settings

If you are sending the numbered file to someone, you can also add your signature before numbering, so that it is placed and counted in the right page.

Questions people ask

How do I add page numbers to a PDF for free?

Open the Add Page Numbers to PDF tool, choose your file, pick a format and a position, and press Add page numbers. Download the new file, which has “-numbered” in its name. Your original is not changed.

pdf me page number kaise dale?

Add Page Numbers to PDF tool kholiye, apni PDF chuniye, Format aur Position chuniye, chahein to First number aur Skip the first page set kijiye, phir Add page numbers dabaiye. Naya numbered file download hoga. Asli file waisi hi rahegi.

How do I skip the cover page when numbering?

Switch on Skip the first page. The cover gets no number, the second page of the file is labelled with your first number (1 by default), and the count carries on from there.

Can I start numbering from a number other than 1?

Yes. Set First number to the value you want, for example 21 for an appendix. A value of 0 is treated as 1. In the “of N” formats, N becomes the last number in the run.

What does Page 1 of N show?

It shows the page’s number and the last number in the run, such as Page 3 of 10. With the default settings N is the page count. If you change the first number or skip the first page, N follows the numbers, not the file’s page count.

Can I number only some pages of a PDF?

Not directly, because the tool numbers every page except an optionally skipped first one. Extract the section you want, number it with the right first number, and merge it back with the other pages.

Can I remove page numbers after adding them?

Not with this tool. The numbers are drawn onto the pages of the new file. Keep your original, and run the tool again from it if you want different settings.

Is it safe to add page numbers online?

It is safest when the file stays on your device. The Add Page Numbers to PDF tool works in your browser, so your document is not uploaded.
