How to remove a password from a PDF when you know it, and what to do when you do not

You open a bank statement, a payslip or a form someone sent you, and the PDF asks for a password. Or it opens fine, but printing and copying are greyed out. Either way you just want a normal file you can read, merge or print. Removing the lock is quick when you know the password. This guide explains the two kinds of lock, how to remove them, and what is not possible.

Two kinds of PDF lock

People say “password-protected PDF” for two quite different things, and the fix depends on which one you have.

What you seeWhat it is calledDo you need the password?
The file asks for a password before it shows anythingOpen password (user password)Yes. Without it the content stays scrambled
It opens, but print, copy text or edit is blockedPermissions (owner restrictions)No. The content is readable, only the rules are set
Both: asks for a password and also blocks printingBoth locks togetherYes, to open it. The restrictions then go as well

The first lock really hides the content. The second is a polite request that most software follows, but the text itself is not hidden.

This is why the same tool can handle a locked bank statement and a brochure that will not let you copy a paragraph. In the second case nothing is secret, so there is nothing to guess.

How to remove the password, step by step

  1. Open the Unlock PDF tool.
  2. Choose the locked PDF or drop it onto the box.
  3. If the file asks for a password to open, type it into the password box. If it only blocks printing or copying, leave the box empty.
  4. Press Unlock PDF.
  5. Download the new file. It is saved with “-unlocked” added to the name, so your original stays as it was.
Choose the locked PDF, type its password if it asks for one, and press Unlock PDF.Open Unlock PDF (Remove Password)
What the tool does with your file
  1. 1Reads the fileYour PDF is opened on your own device, inside the browser.
  2. 2Checks the passwordIf one is needed, it is tried against the file’s lock. A wrong one is refused.
  3. 3Rebuilds the fileThe lock and the print or copy limits are left out of the new copy.
  4. 4You download itA normal PDF named like statement-unlocked.pdf.

A file with no lock at all simply comes back unchanged, with a note that nothing needed removing.

Which PDFs can it open

PDF locks have been made in several generations. The tool understands the old 40-bit and 128-bit RC4 locks as well as AES-128 and AES-256, which covers almost every PDF you will meet, from an old scanned form to a statement saved last month.

Lock typeWhere you often see itSupported
RC4 40-bit and 128-bitOlder PDFs and some office softwareYes
AES 128-bitMany banks, payroll and office toolsYes
AES 256-bitNewest PDFs, including ones made by the Protect PDF toolYes

Common cases in India

  • Bank and credit card statements. The password is usually built from details the bank already holds, such as part of your name with your date of birth. The email that carried the statement, or the bank’s help page, tells you the exact pattern. Banks differ, so check theirs.
  • Salary slips and Form 16. Employers often use a PAN-based or employee-ID-based password. Ask HR for the format.
  • Insurance and mutual fund statements. These often use a date of birth or a mix of letters and digits from your records.
  • Forms that will not print. A restriction, not a password. Leave the box empty and press Unlock.

Once the file is open, you can merge several PDFs into one, split out only the pages you need or compress it to fit an upload limit. These steps are much harder, or impossible, while the lock is still on.

What if you forgot the password

Be wary of any page that promises to “crack any PDF password instantly”. A strong open password cannot be removed on request, because the content is scrambled with a key made from it. Guessing is the only way, and a good password makes that take far too long.

  • Look for it first. Search your email for the message that carried the file. The sender often states how the password is formed.
  • Ask the sender. A bank, school or employer can usually reissue the file or tell you the format.
  • Try the obvious variants of what you normally use, remembering case and spaces.
  • Ask for an unprotected copy. This is often the fastest fix.

Unlocking is not the same as encrypting again

After you have finished with a sensitive document, you may want a lock back on it before you email it. The Protect PDF tool adds a new password with strong AES-256 encryption. Pick a long, unusual password, and see why length beats symbols if you want to judge how strong yours is.

Private by design

A bank statement is about as personal as a document gets. The Unlock PDF tool works inside your browser, so the file and the password are not sent to a server. That is the main reason to prefer it over upload sites, which have to receive your file and your password to do the same job.
