A **rent receipt** is a simple signed note saying that a tenant paid a certain rent to a landlord for a certain period. In India it matters because your employer needs it, once a year, to let you claim **HRA exemption** and cut your TDS. The note is easy to write. The mistakes people make are small and avoidable: a missing PAN, an unclear period or a mismatch with the rent agreement.

> **In short**
> - **You need a receipt per month, quarter or year, whatever your employer accepts.** Twelve monthly receipts are the most common.
> - **If yearly rent is more than ₹1,00,000, the landlord’s PAN is needed.** That is about ₹8,334 a month. If the landlord has no PAN, a written declaration is used instead.
> - **HRA exemption is for the old tax regime only.** Check [which regime saves more](https://toolcloak.com/articles/old-vs-new-tax-regime-which-saves-more-tax-worked-examples-for-10-15-and-20-lakh-salaries) before you collect paper.
> - The best proof of rent is the **bank or UPI transfer**, not the receipt. Keep both.

## What a rent receipt must contain

| Field | What to write | Common slip |
| --- | --- | --- |
| Date of receipt | The date the rent was paid or the last day of the month | Same date on all 12 receipts |
| Tenant name | Exactly as on your payslip and rent agreement | Using a nickname |
| Landlord name | Exactly as on the agreement and the bank account that received the money | Paying to a different person |
| Property address | Full address of the rented home | Only the area name |
| Rent amount | In figures and in words | Amount differs from the agreement |
| Period | For example “1 to 31 July 2026” | Leaving the month blank |
| Landlord PAN | Required when yearly rent is above ₹1,00,000 | Missing or wrong letters |
| Landlord signature | Signed by hand, or a revenue stamp where your employer asks | Not signed |

*Write the amount in words as well as figures. The [Number to Words](https://toolcloak.com/tools/number-to-words) converter does it in lakh and crore style.*

## The ₹1 lakh PAN line

When you pay more than ₹1,00,000 of rent in a financial year, your employer must collect the landlord’s PAN to allow HRA. Divide by twelve and you get roughly ₹8,333 a month. Round numbers like ₹10,000 are well over the line.

**Yearly rent and the PAN rule**

| Zone | From | To |
| --- | --- | --- |
| PAN not required | 0 | 100000 |
| Landlord PAN required | 100000 | 400000 |

*The line applies to total rent paid in the year to the same landlord, not to a single month.*

**Monthly rent against yearly rent (₹ thousand per year)**

| | Value |
| --- | --- |
| ₹6,000 | 72k |
| ₹8,000 | 96k |
| ₹8,334 | 100.01k |
| ₹10,000 | 120k |
| ₹15,000 | 180k |
| ₹25,000 | 300k |

*At ₹8,334 a month you cross ₹1 lakh for the year. At ₹8,333 you stay at ₹99,996.*

> **If the landlord has no PAN:** The usual route is a short signed declaration from the landlord saying they do not have a PAN, with their name and address. Ask HR for the format they accept. Do not invent a PAN number.

## Make twelve receipts in a few minutes

**With the Rent Receipt Generator**

1. **Fill in the details once.** Tenant, landlord, address, rent and the landlord’s PAN.
2. **Choose the months.** Pick the financial year, for example April 2026 to March 2027.
3. **Save as one PDF.** All receipts come out together, one per page.
4. **Get them signed.** Print, ask the landlord to sign, and scan. Or send the PDF for their signature.

*Everything is made in your browser. Names, addresses and PAN are not sent to a server.*

Try it: [Rent Receipt Generator (HRA, India)](https://toolcloak.com/tools/rent-receipt-generator). Create monthly rent receipts for HRA, with landlord PAN and an optional revenue stamp box.

## Do you need a revenue stamp?

Practice varies. A stamp of ₹1 has traditionally been stuck on a cash receipt above ₹5,000. Many employers do not insist on it when the rent is paid by bank transfer, and some do. **Ask your HR what they want and follow it.** The generator has an optional box for the stamp so the landlord has somewhere to sign across it.

## A good receipt against a risky one

**What HR looks for**

| Clean receipt | Risky receipt |
| --- | --- |
| Accepted | Questioned |
| Names match the agreement and the payslip | Same date and wording on every receipt |
| Period is clear and each month differs | Landlord is a different person from the account holder |
| PAN given where required | Amount does not match the agreement |
| Bank transfer matches the amount | No PAN above ₹1 lakh a year |

*If the payment goes to a family member’s account, say so on the receipt and keep the agreement ready.*

## Special cases

- **Paying rent to your parents.** It can be allowed if it is a real arrangement: money moves to their account and they show the rent as their income. Paper-only rent does not hold up.
- **You moved in the middle of the year.** Make receipts for each landlord, each with their own PAN where the yearly rent is above ₹1 lakh.
- **Rent changes mid-year.** Use the correct amount for each month. A rent rise from October should show on the October receipt.
- **Lost receipts.** A bank statement plus the rent agreement is better evidence than none. Ask the landlord to sign fresh copies.

> **Only claim what is real:** A false rent claim is an offence and can lead to tax, interest and penalty. The generator makes the layout. The facts have to be true. If you do not pay rent, do not make receipts.

## Frequently asked questions

### Is a rent receipt mandatory for HRA?

Employers ask for proof before they reduce your TDS. Monthly receipts or a yearly receipt with rent agreement and bank statements are the usual proof. If you do not give proof, you can still claim HRA when you file your return, if you have the paperwork.

### What is the rent receipt format?

Tenant name, landlord name, property address, rent amount in figures and words, the period it covers, date, landlord PAN where yearly rent is above ₹1,00,000, and the landlord’s signature.

### Is landlord PAN mandatory above ₹1 lakh rent?

Yes, when yearly rent exceeds ₹1,00,000 the employer needs the landlord’s PAN. If the landlord has none, a signed declaration is used in its place.

### Can I make rent receipts online?

Yes. A generator fills in the layout and saves a PDF. The landlord still has to sign it, and the details must be true.

### Do I need a revenue stamp on a rent receipt?

It depends on your employer and on whether rent is paid in cash. Ask HR. Bank-transfer rent is often accepted without a stamp.

### Can I claim HRA in the new tax regime?

No. HRA exemption is available only in the old regime. Compare both before you submit rent receipts.

### Can one receipt cover the whole year?

Some employers accept a single yearly receipt, others want one per month or quarter. Ask what your company accepts so you do not have to redo it.
