You send the same resume to forty companies and hear back from two. The usual suspect is not your experience. It is the **file**. Many employers use an applicant tracking system, or ATS, that reads your resume into fields before any person does. A resume built with columns, icons, text boxes and graphs can come out of that process with the wrong things in the wrong boxes, or with nothing at all. The fix is a plain, one-column layout that software and people both read easily.

> **In short**
> - **Use one column, standard headings and real text.** No tables, text boxes, icons, skill bars or photos inside the page.
> - **Put results in your bullets:** what you did, with a number where you honestly have one.
> - **One page for a fresher, up to two for a long career.** Save as a text-based PDF unless the job asks for Word.
> - **Test it:** select all in the PDF and paste into Notepad. If the order is jumbled, software will read it jumbled too.

## What an ATS does with your resume

The software takes your file, pulls out the text, and tries to sort it into boxes: name, phone, email, jobs, dates, education, skills. A recruiter then searches those boxes for words from the job description. If the software cannot tell where your job history starts, or reads two columns across each other, the search finds less than you wrote.

**Two layouts, two outcomes**

| Designed template | Plain one-column |
| --- | --- |
| Risky | Safe |
| Two columns read straight across | Reads top to bottom, in order |
| Skills shown as bars or stars, with no words to search | Skills as plain words, easy to match |
| Contact details inside a header or an icon | Name, email and phone at the top as text |
| Fancy section names like “My Journey” | Standard names: Experience, Education, Skills |

*This is not about looking boring. A clean page with strong content looks professional and still gets read.*

> **No system is perfect:** Different employers use different software, and some resumes are read by a person first. The plain layout is simply the safest choice for both. If a job posting says how to apply, such as “PDF only” or “upload a Word file”, follow that.

## The sections, in order

**Top to bottom on the page**

| When | What |
| --- | --- |
| 1 | Header. Full name, job title, email, phone, city, and a LinkedIn or GitHub link if you have a good one. |
| 2 | Summary. Two or three lines: who you are, what you are good at, what you want. Use words from the job post. |
| 3 | Experience. Role, company, dates, and three to five bullets of results. Newest first. |
| 4 | Education. Degree, college, year. Fresher: put this above Experience. |
| 5 | Skills. A plain, comma-separated list of tools and skills you can really use. |

*Add Projects or Certifications only if they help for this job. Leave out hobbies unless they relate to the role.*

Try it: [Resume Builder](https://toolcloak.com/tools/resume-builder). Fill in your details, check the live preview and print or save the resume as a PDF. Nothing leaves your browser.

In the builder, each job is a block: the first line is **Role | Company | Dates**, and the lines below start with a dash. Leave a blank line before the next job. If you leave Experience empty, that section simply does not appear, so a fresher’s page goes straight from Summary to Education.

## Fresher with no work experience

Nobody expects a fresher to have five years of jobs. What they want is evidence you can do the work. Put the proof where the experience would go.

- **Internships** and **freelance jobs**, even short ones, written like any other role.
- **Projects** written the same way: the project name in the Role slot, the college or “Personal project” in the Company slot, then bullets on what you built and the result.
- **Education details** that matter: degree, college, year and a score if it is strong. For a CGPA, see the [CGPA to percentage guide](https://toolcloak.com/articles/cgpa-to-percentage-how-to-convert-with-the-9-5-rule-and-why-universities-differ) if the form asks for percentage.
- **Skills** that match the job. Do not list a tool you cannot discuss in an interview.

## Writing bullets that show results

A bullet that lists duties says what the job was. A bullet that shows a result says what **you** did. The pattern is simple: an action verb, what you did, and the effect.

| Weak (a duty) | Stronger (a result) |
| --- | --- |
| Responsible for the website | Built 20+ responsive pages in React for a retail client |
| Worked on speed issues | Cut page load time by 40% by compressing images and lazy loading |
| Helped customers | Resolved 30+ customer queries a day with a 95% satisfaction rating |
| Did data entry | Entered and checked 500+ records a week with under 1% errors |
| Was in the college fest team | Led a 6-person team that raised ₹1.2 lakh in sponsorship |

*Only write a number you can defend in an interview. An honest “about 10” beats an invented “95%”.*

**A quick length guide**

| | Value | Note |
| --- | --- | --- |
| Fresher | 1 page | Up to about 3 years of experience |
| Experienced | 2 pages | Only if the content earns it |
| Bullets per role | 3–5 | Latest roles get the most |
| Summary | 2–3 lines | Not a paragraph |

*These are common guidelines, not laws. A tight page always beats a padded one.*

## Use the words of the job post, truthfully

Recruiters often search for exact words. If the post says “customer relationship management” and your resume says “CRM”, include both once. If it asks for Excel pivot tables and you use them, say so in those words. Never add a skill you do not have to match a job, because the interview will find it.

1. Copy the job description into a notepad.
2. Underline the tools, skills and duties that repeat.
3. Check each one against your real experience.
4. Where you truly have it, use their wording in your summary, bullets or skills.
5. Save a separate version for each type of job rather than one resume for everything.

## What to leave out

- **Photo, date of birth, religion, marital status, father’s name.** Unless the job posting asks, they add nothing to your skills and invite bias. It is also personal information you may not want to spread.
- **Full home address.** City is enough. See the [photo location guide](https://toolcloak.com/articles/your-photo-may-be-carrying-your-home-address) for how easily personal details leak.
- **“References available on request.”** It is understood.
- **Objective statements like “seeking a challenging position”.** Replace them with a real summary.
- **ALL CAPS and many fonts.** Keep headings consistent. The [case converter guide](https://toolcloak.com/articles/uppercase-lowercase-title-case-and-sentence-case-how-to-change-the-case-of-any-text-in-one-click) helps tidy text pasted in capitals.

## Save it right: PDF or Word?

**From the builder to a clean PDF**

1. **Preview.** Check the page fits in one page. Shorten a bullet rather than shrink the font.
2. **Print.** Click Print / Save as PDF. A window opens.
3. **Choose Save as PDF.** In the printer list, pick Save as PDF, then save.
4. **Name it well.** Firstname-Lastname-Role.pdf, for example Priya-Sharma-Data-Analyst.pdf.

*A PDF saved this way keeps real, selectable text. A PDF made from a screenshot or a scan does not, and a recruiting system cannot read it.*

A text-based PDF keeps the layout the same on every device and is accepted by most employers. Some systems prefer Word, and the job post will usually say. If you only have an old PDF and need the text back to edit it, see [PDF to Word and why layouts break](https://toolcloak.com/articles/pdf-to-word-why-the-layout-breaks-text-pdf-against-scanned-pdf-and-how-to-get-editable-text-out). If the upload portal limits the size, the [PDF compression guide](https://toolcloak.com/articles/how-to-compress-a-pdf-why-files-are-so-big-and-how-to-get-under-an-upload-limit) helps, though a text-only resume is already tiny.

## The 10-second test

1. Open your finished PDF.
2. Press Ctrl+A to select everything, then Ctrl+C to copy.
3. Paste into Notepad or a plain text document.
4. Read it from the top. Is your name first? Are jobs in order with dates beside them? Are skills there as words?
5. If lines are jumbled, text is missing, or columns are mixed, the layout is the problem. Simplify it.

## Frequently asked questions

### What is an ATS-friendly resume?

A resume built so that applicant tracking software can read it correctly: one column, standard section names, real text rather than images, and no tables, text boxes or graphics holding important information.

### Resume kaise banaye fresher ke liye?

Ek page ka, ek column wala resume banayein: upar naam aur contact, phir 2 se 3 line ka summary, phir internship ya projects, education aur skills. Har bullet me kya kiya aur uska result likhein, aur PDF text wali save karein.

### Should I send my resume as PDF or Word?

Follow the job post if it says. If it does not, a text-based PDF is safe because the layout stays the same everywhere. Make sure you can select the text in it.

### How long should a resume be?

One page for freshers and people with up to about three years of experience. Two pages are fine for a long career when every line earns its place.

### Should I put a photo on my resume in India?

Only if the employer asks for one. Photos do not help software read your resume, and many recruiters prefer not to see them. If a form needs a photo, upload it in the form rather than placing it inside the resume.

### What should a fresher write in the summary?

Two or three lines: your degree and field, two or three skills or tools you really use, and the kind of role you want. Use words from the job post where they are true.

### How do I check if my resume is readable by ATS?

Open the PDF, press Ctrl+A and Ctrl+C, and paste into Notepad. If the text appears in the right order, with your name, jobs and skills in clear lines, software can read it too.

### Is a free resume builder safe?

It is safest when the tool runs in your browser and does not upload your details. Your resume has your phone number and email, so avoid sites that ask for an account just to download.
